Rivilė ERP
Lithuanian cloud ERP for accounting, invoicing and sales
Overview
Connect Rivilė ERP so Taxxa can read a company's invoices, payments and open balances directly from Rivilė ERP. You can then ask questions about sales, purchases, customers and suppliers in Taxxa without exporting reports. You connect with an API key that you create for one company in Rivilė ERP, and you decide in Rivilė what the key can read. This is an office connection: people who can manage office access, a permission a workspace admin gives, connect it. Everyone else can use it only with access to its client, given per client or to all clients on the Office access page.
What Taxxa can access
- Customers and suppliers (client cards).
- Sales invoices and purchase invoices, with their lines.
- Payments received and sent.
- Open receivables and payables, with due dates.
- Taxxa can also prepare changes, such as a new client or sales invoice, for members with Read & write access to the client. Rivilė allows only what the key's rights group permits, so a read-only group keeps the key to reading. Keep the key like a password.
Before you connect
- Rivilė ERP, the cloud product. Rivilė GAMA, the on-premises product, uses a different interface and is not supported.
- A Rivilė ERP user who can open Nustatymai → Bendrieji (Settings → General) and manage API Raktai (API keys) and Vartotojų/teisių grupės (User/rights groups).
- An API rights group in Rivilė ERP that limits the key. Rivilė checks the group on every request, so Taxxa can only read what the group allows. In Taxxa, an office access manager can narrow this further for each member, never widen it.
- Rivilė counts API requests as an additional feature of your subscription. You can see your usage in the organisation profile (bottom left) under Papildomų funkcionalumų ataskaita. Ask Rivilė whether your plan covers it.
- The office access permission in Taxxa, given by a workspace admin. Only office access managers can connect Rivilė ERP.
How to connect
- In Rivilė ERP, go to Nustatymai → Bendrieji → Vartotojų/teisių grupės (Settings → General → User/rights groups) and create a group. Enter a name, for example Taxxa, and a code. In Tipas (Type) choose Teisių grupė (Rights group), in Rolė (Role) choose API, and save.
- In the group's Teisės (Rights) tab, tick Skaityti (Read) only for the data Taxxa reads: client cards, Pardavimo sąskaita (Sales invoice), Pirkimo sąskaita (Purchase invoice), Mokėjimas (Payment) and Skolų registras (Debt register). A new group can have other rights ticked. Clear all of them, including Rašyti (Write) and Registruoti (Register): the key can then only read, whatever an admin grants in Taxxa. Save.
- Go to Nustatymai → Bendrieji → API Raktai (Settings → General → API keys) and click Sukurti naują raktą (Create new key). Enter a name, for example Taxxa. In Įmonė (Company), choose the company you want to connect. Optionally, set an expiry date in Galioja iki (Valid until).
- Click Išsaugoti (Save) and copy the key. Rivilė shows it only once.
- Open your rights group again. In the Vartotojai (Users) tab, click Pridėti vartotojus (Add users), choose the new key and save. Rivilė applies rights changes after about 15 minutes, so wait before you continue.
- In Taxxa, open Connectors, choose the client company and select Rivilė ERP. Select Connect.
- Paste the key into API Key and select Connect. Taxxa checks the key with Rivilė ERP.
- In Taxxa, open the Office access page from Connectors and give members access per client or to all clients: Read for the read actions and synced data, or Read & write for every action. People who can manage office access have full access. A write action still follows each member's own approval setting: Taxxa asks before each change unless that member chose to allow changes without asking.
- To give access to many clients at once, select Edit next to a member on the Office access page, filter the clients, for example by connector, select all matching clients, choose Read or Read & write, and save.
- To connect another company, create a key for that company, add it to the rights group, wait about 15 minutes and connect it in Taxxa as above.
Where to find your details
- API Key
- Create it in Rivilė ERP under Nustatymai → Bendrieji → API Raktai with Sukurti naują raktą. Give it a name, choose the company in Įmonė, optionally set Galioja iki, and click Išsaugoti. Rivilė shows the key only once, so paste it straight in here and keep it like a password. The key can do what its API rights group allows, so add it to a read-only group.
Troubleshooting
- Taxxa says the API key is not valid.
- Check that you copied the whole key, that it is not set to Neaktyvus (Inactive), and that its Galioja iki date has not passed. Keys from Rivilė GAMA do not work: create the key in Rivilė ERP.
- Taxxa says the API key's rights group does not allow a request.
- In Rivilė ERP, open the key's group under Nustatymai → Bendrieji → Vartotojų/teisių grupės, tick Skaityti (Read) for that data in Teisės (Rights) and save. Rivilė applies the change after about 15 minutes, so wait before you try again.
- Taxxa shows data from the wrong company.
- Each key belongs to the one company chosen in Įmonė when it was created. Create a key for the right company and reconnect Rivilė ERP in Taxxa for that client.
- The connection stopped working.
- The key has expired (Galioja iki), was set to Neaktyvus, or was regenerated. Regenerating a key stops the old one for every integration that uses it. Create a new key and reconnect Rivilė ERP in Taxxa.
- You lost the key.
- Rivilė ERP shows a key only once and cannot show it again. Create a new key for the same company and use it to reconnect in Taxxa. Then set the old key to Neaktyvus.
Disconnect
In Rivilė ERP, open the key under Nustatymai → Bendrieji → API Raktai and set its status to Neaktyvus (Inactive), or change Galioja iki to a date that has passed. You can also disconnect Rivilė ERP in Taxxa under Connectors.
